- Customer Service and/or Quality Control staff available – We have the most experienced and responsive Customer Service Representatives (CSRs) in the industry. We pride ourselves on our ability to service the customer quickly and efficiently, often exceeding their expectations. We take a great deal of pride in the quality and accuracy of the letters we generate for our clients. Each employee is responsible for quality control and inspection throughout the entire letter process. We have specific employees assigned to inspect the quality of print, folds and insertion balances as an additional check point.
- Single Customer Service Rep (or team) assigned to your project until its completion – We normally assign a team to manage our medium- to larger-sized customer implementations. We have experienced CSRs for keying and proofing letters, and a Communication Specialist for data file transmissions and testing. A CSR is normally assigned as the primary contact with a secondary individual as backup. They soon become familiar with your organization, contacts, business guidelines and specifications.
- Create, maintain and follow Standard Operating Procedures – We are very familiar with over 550 organizations and their standard operating procedures. We clearly document and organize your account information (work orders, client profiles, client authorization, communications, activity logs, etc.), and work as an extension of your staff. We understand that this is a very important part of choosing an outsource partner – that partner needs to be an organization you can trust.
Guaranteed turnaround time for letter setups/changes – We pride ourselves on our ability to create customer collection letters quickly, accurately, and with quality and care. We currently process letters in English, French, and Spanish, along with many others, and have the capability to set up most letters within 24 hours (depending on the number of letter texts requested). We have a complete test environment that mirrors production, creating and testing new and changed letters before they go into “live” production status.
- Formatting of letters – We are very familiar with the formats, FDCPA verbiage, variable data and collection letter text process. There is no charge for the initial letter set-up or any subsequent changes. We have the ability to add logos (company or association), digitized signatures, as well as many payment type icons (credit card, Western Union Quick Collect, etc.). We are also very familiar with payment processing options that involve lock box scan lines (scan A, B) as well as return mail 3 of 9 barcoding to facilitate manual return mail.
- Archive storage of any new letter or letter change – We store all new and pending letters, along with any recent letter changes, in a test environment that our CSR can access and test with actual letter data. Once the letters are approved (signed and returned to DANTOM) by the customer, they are moved into the production environment (letter system online for CSR access only).
NOTE: Copies of all new letters and letter changes, approved and signed by the customer, are kept in their customer file for reference.
